How Many Working Days Are Really in a Year?

Most PTO and project-timeline math starts from the wrong base number. Here is the one that is actually correct.

A calendar year has 365 days (366 in a leap year), but almost no one actually works anywhere close to that many. Once weekends are removed, a typical year on a standard Monday–Friday schedule has 260 or 261 weekdays, not 365 — and that's before subtracting public holidays, which is where most quick mental math about "how many days until X" or "how much PTO do I actually have relative to the year" quietly goes wrong.

The baseline: weekdays alone

Every year has 52 full weeks (364 days) plus one or two extra days depending on leap years and where January 1st falls. That works out to 260 weekdays in a standard year (52 weeks × 5) and 261 or 262 in years where the extra day(s) land on a weekday rather than a weekend — the exact number shifts slightly year to year based on the calendar, which is why "just estimate 260" is close but not exact for planning that needs a real number.

Then subtract holidays

The US has 11 federal holidays; many private employers observe close to that number, though it varies by company and whether floating holidays are offered instead of fixed ones. Subtracting roughly 10–11 holidays from 260 weekdays lands most US employees at approximately 249–250 actual working days in a typical year — noticeably fewer than the 260 weekday estimate, and dramatically fewer than the 365-day year most casual "days per year" reasoning implicitly assumes.

This gap matters more than it looks like it should for two common calculations. First, PTO accrual and usage: if you're estimating what share of your working year a given amount of PTO represents, dividing by 365 (or even 260) instead of the true ~250 working days understates how much of your actual work-year that time off covers. Second, project and deadline planning: a "6-week" timeline quoted in calendar weeks is not the same as 6 weeks of working days if it crosses even one federal holiday, and multi-month timelines that cross several holidays can lose several working days that a naive calendar count misses entirely.

Working it out for your actual dates

A worked example

Say you're planning a project that runs from the second week of November through early January — roughly 8 calendar weeks. Counted naively, that might get budgeted as "40 working days" (8 weeks × 5). Run the actual date range through the Working Days Calculator and the weekday count comes out the same, 40 — but that window typically crosses Thanksgiving, the day after Thanksgiving where observed, and often a partial shutdown around Christmas and New Year's, which for many employers removes another 4–6 working days beyond the federal-holiday count alone, once regional and company-specific closures are factored in. A timeline built on the naive 40-day estimate quietly loses a week or more of real capacity.

The practical takeaway

When the number of working days actually matters — PTO math, project deadlines, contractor invoicing by the day — start from the real weekday count for the specific date range, not a rough 365 or 260 estimate, and then subtract the holidays that actually apply to your calendar. The gap between "days in a year" and "working days in a year" is close to 100 days, and the gap between "working days" and "working days after holidays" is smaller but still large enough to throw off a tight timeline.
